01 / Why Upgrade

The follow-up that never comes.

A resident reports a fault and hears nothing back. A maintenance task is skipped and nobody notices until something fails. A permit lapses because the person who tracked it left. Slow or non-existent follow-up from the Managing Agent and vendors is one of the defining frustrations of estate living — and it starts with work that nobody is tracking.

01

Feedback into a void

Residents report faults and then chase for updates that never come.

02

Vendors unaccountable

Response times go unmeasured, so poor performance carries no consequence at renewal.

03

Maintenance by breakdown

Assets are serviced when they fail rather than on schedule, and repairs cost more each time.

04

Decisions without history

Repair, replace, or renew is decided with no record of what each asset has already cost.

05

Renewals that lapse

Permits and licenses are tracked in one person's head, and staff turnover erases the memory.

06

The procurement loophole

Between approved quotation and paid invoice, items can be added and costs inflated — unchecked.

Every one of these is a tracking failure. The estate does not need more effort — it needs a system where no task, asset, renewal, or dollar goes untracked.

02 / The fix

Every report becomes tracked work.

Feedback from residents and fault reports by staff are funnelled into one automated system. The work is assigned to the right contractor, the response is tracked, and the follow-up is enforced — so reports stop disappearing and residents stop chasing.

1

A report comes in

A resident submits feedback through the app, or site staff log a fault on the ground.
2

The system assigns it

The work goes to the right contractor automatically, with no triage pile in between.
3

Follow-up is tracked

Response and completion are recorded against the work order, not left to memory.
4

Council sees the data

Performance data is collated to the management dashboard, so vendor performance is monitored, not assumed.

The follow-up problem, solved at the root.
Slow or absent follow-up is a defining pain of estate living. When every report is assigned, tracked, and measured, follow-up stops depending on anyone remembering.

03 / Asset lifecycle

Maintain on schedule. Decide on data.

Asset Management covers the full life of every asset in the estate — from routine servicing to the eventual repair, replace, or renew decision.

Preventive maintenance

Every request becomes a ticket

Maintenance schedules are created and customised with task lists, dates, and automated reminders. Any task left undone is automatically escalated to the estate manager and HQ for follow-up, so nothing quietly slips.

Asset register

Every asset carries its history

The register keeps the maintenance work, breakdown history, and costs for each asset. When a repair, replace, or renew decision comes up, the data is already there — and residents can weigh in by upvoting or downvoting replacement through the Qommunity+ app.

Q.Ops app

AI takes the repetitive work

Site staff and term contractors work from the Q.Ops app — powerful yet simple to use. Work is assigned and updated in-app, from preventive maintenance jobs to responses to residents' feedback, and every update builds a holistic picture for HQ to manage Operations centrally and support each site.

04 / Procurement integrity

Closing the loophole where estate monies leak.

The gap between an approved quotation and a paid invoice is where estate funds can be misappropriated — items added, costs inflated, and nobody the wiser. The Procurements module closes that gap with a matched, approved, and stored trail for every purchase.

Approvals become POs. Council approvals on quotations are accurately captured in purchase orders — the approved scope, at the approved price.
Office bearers sign off. Each PO is approved by the Council office bearers, on the record.
Invoices are matched. Supplier invoices are matched against the PO, so there is no fraudulent addition of items and no inflation of costs.
The trail is kept. Audit trails of approvals and supporting documents are properly stored for easy retrieval, anytime in the future.

05 / Benefits

Follow-up that happens; assets that last; funds that are protected.

01

Residents see follow-through

Reports are assigned, worked, and closed with the resident notified — and vendor performance data on the Council dashboard means slow contractors are visible at renewal time.

02

Assets serve their full life

Preventive maintenance runs on schedule with escalation as the safety net, and the asset register turns repair, replace, or renew from a guess into a data-backed decision residents can take part in.

03

The estate is protected

Compliance alerts keep permits and licenses current through any staff change, and the procurement trail from approved quotation to matched invoice keeps estate monies where they belong.
